The Tandana Foundation is a non- profit organization that supports community initiatives in Ecuador’s Otavalo Canton and Mali’s Bandiagara District as well as offers intercultural volunteer experiences. Tandana’s mission is: “To support the achievement of community goals and address global inequalities through caring intercultural relationships that embody mutual respect and responsibility.”
Summary of Responsibilities
The Tandana Foundation is seeking an Administrative Assistant (AA) to support its operations. Success requires strong skills in organization, attention to detail, time management, and computer usage. We expect the AA to work independently and to take initiative. Excellent written and oral communication skills are necessary. The position is part-time 20-hours per week with some flexibility. Preferred location is in the Dayton, Ohio vicinity but most work is remote. The ideal candidate will be detail-oriented, energetic, flexible, and passionate about Tandana’s mission. Key Responsibilities
1. Constituent Relations:
a. Respond to voicemail messages and email for international headquarters.
b. Write thank you notes.
2. Office Support:
a. Manage incoming and outgoing mail.
b. Organize and update files of paper and electronic records.
c. Coordinate acquisition and transportation of supplies to and from branches in Ecuador and Mali.
d. Handle fulfillment of purchases and gifts.
3. Donor Software Support
a. Maintain donor information, create mailing lists, and handle other functions in DonorPerfect.
b. Maintain donor acknowledgment communications.
4. Special Events Support (requires some evening and weekend duty)
a. Track reservations and maintain confirmation communications.
b. Attend and assist with logistics of events.
c. Coordinate and organize auction items and other event supplies.
5. Financial Support
a. Deposit checks and do some in-person banking.
b. Inform other team members about funds received as appropriate.
c. Assist with some bookkeeping tasks.
6. Incident Response
a. Be part of the team that is prepared to respond to critical incidents on the administrative side.
Job Skills and Qualifications
Required:
-Five Years administrative job experience
-Superb organizational skills; strong attention to detail
-Professional and personable presentation over the phone and via email
-Strong Microsoft Office Suite computer skills
-Excellent time management and prioritization skills
Preferred:
-Two-year college degree
-Knowledge of French and/or Spanish
-Non-profit experience
-Experience with donor management software, Dropbox, Asana
Compensation:
-Hourly pay of $20.00 to $25.00 for Part-time, 20 hours per week
